Directory Updates:
The Directory Application is a critical source of building level data that is
used for several other KSDE applications including, KIDS, PBR, SO66, and will
be used by other applications. It was originally designed for creating the
educational directory but has become the authority about building level data.
Often what is entered in this application will lock out other applications.

One common Audit
Exception we saw last year happens when students move buildings, they don’t
physically change their permanent address but when they move from one
building to the next, that can have a huge impact on how far they ride the
bus. Most staff catch address changes and check Transportation FTE, but we
had several cases this year where the kid didn’t move, they just moved from
elementary to middle but the SIS reported incorrect transportation
information on those students.

Another thing
found by many auditors last year were students being claimed by several
buildings in the same district for ENRL funding. So a new KIDS report will be
available so districts can use that report to watch for possible duplications
of students who may move between buildings in the same district at the
beginning of the school year. This report will also show students in multiple
districts if an ENRL record was successfully submitted by both districts.

Every year, we
hear of a school or district that had their school, district, or state entry
dates inadvertently reset to the first day of school when the SIS rollover to
move all students up a grade level occurs. Anyone who has spent time running
student history reports, submitting QERY records, or trying to verify those
critical entry dates can attest to how valuable that data is and to make sure
it is not impacted by rolling over data in the SIS. To safeguard against
this, you may even want to pull a report out of your SIS that has school
district and state entry dates for your students before starting the rollover
process to archive this data.

Graduation/Drop
Summary Report: Several schools reported something unusual. We saw a lot of
schools reporting students as graduating with diplomas but that entire
classes of graduates had “unknown post-graduation plans” on their Graduation
Drop-Out Summary Report for Post Graduation PlansIf 8 or 9 is reported in
D28, you should be reporting 1-7 on D30. It should be rare that students are
EXITed with an 8 in both fields.

For those of you
who may be working with the SCRS Collection, that new KIDS Collection next
year, if you are not familiar with the LPR, the licensed personnel report,
you will want to be prepared that reporting student course information will
be shaped by the data reported on the LPR.

|
You should also
prepare that the PBR and SO66 reports (those two reports Administrators must
submit next year for funding) are going to be re-written and will look
different next fall. So you will want to submit your ENRL records as soon as
the submission window opens to give school and district staff as much time as
possible to work with the re-designed PBR & SO66 Reports.

One final thing I
was asked to share with you is regarding KAMS students. There were several
cases where these students were reported incorrectly. If you have KAMS
students, there is a separate guidance document on the KIDS website where you
can obtain more information.
